Recruitment and Job Applicants

Pilgrim Foodservice collects and processes personal data relating to individuals who apply for employment with us.

When you apply for a role, we will collect and use personal information about you to assess your suitability for employment and to manage the recruitment process.

The data we collect about job applicants

During the recruitment process we may collect, store and process the following types of personal data:

  • Identity Data – such as your name, title and date of birth

  • Contact Data – such as your address, telephone number and email address

  • Employment Data – such as your employment history, qualifications, skills and experience

  • Application Data – information provided in CVs, application forms or cover letters

  • Assessment Data – interview notes, assessment results and feedback

  • Right to Work Data – documentation confirming eligibility to work in the UK

  • Technical Data – such as IP address and browser data when applying online

How we collect your personal data

We may collect personal data through:

  • applications, CVs and forms you submit

  • interviews and assessments

  • recruitment agencies

  • publicly available sources such as LinkedIn

How we use your personal data

We will only use your personal data where the law allows us to. Most commonly, we use it to:

  • assess your suitability for current and future roles

  • communicate with you about your application

  • manage and administer the recruitment process

  • comply with legal and regulatory obligations

Our lawful basis is our legitimate interest in recruiting suitable employees. In some cases, we may rely on consent where required.

Recruitment systems and third-party providers

Pilgrim Foodservice uses recruitment systems and service providers to support the hiring process. Your personal data may be stored and processed within these systems.

Where third-party providers are used (for example recruitment systems, agencies or assessment providers), your data may be shared with them strictly for recruitment purposes and processed in line with our instructions.

Data retention

If your application is unsuccessful, your personal data will be retained in line with our system retention rules, typically for up to 12 months after the recruitment process has concluded.

After this period, your data may be automatically deleted or anonymised. Where data is anonymised, identifying information is removed but limited non-identifiable data may be retained for reporting purposes.

You may request deletion of your data at any time.

Your control and rights

You can update your details and manage your preferences by logging into your candidate account.

You may also request deletion of your account or personal data, subject to any legal or operational requirements.

You have the right to access, correct, restrict or request deletion of your personal data where applicable.

Automated processing

As part of the recruitment process, we may use application questions, filtering tools or system workflows to help manage applications. Final hiring decisions are not made solely by automated means.
